Conditions for concerts 2009
 
A limited number of events may take place outside of normal opening hours, in connection with the exhibitions in the Library Hall. Please notice that Rundetaarn is a popular venue for concerts and receptions and it is not always possible to grant the requested date. The rules for concerts are as follows:
 
General conditions in 2009:
 
The organizer must pay an expense fee of DKK 2.000.00 on weekdays or DKK 2.250.00 during weekends and holidays.
 
In addition to this, Rundetaarn must receive the normal entrance fee of DKK 25.00 per indivual attending the arrangement, with a minimum charge of DKK 1,000.00.
 
Cancellations of planned events later than four weeks in advance will result in a cancellation fee of DKK 1,200.00.
 
The organizer is responsible for paying KODA fees. Fire Department regulations regarding the hall must be obeyed.
 
Sale and pricing of tickets must be arranged with Rundetaarn no later than 12 weeks prior to the event.
 
If desired, tickets can be made available though the BilletNet service, but a number of tickets must always remain for sale in Rundetaarn itself.
 
Rundetaarn cannot be held responsible for ticket distribution errors.
 
The content and duration of events must be agreed upon in advance with Rundetaarn.
 
The content cannot be changed without prior agreement.
 
The organizer is responsible for manufacturing programmes and posters and informing the medias.
Please notice, that the concert will be promoted by Rundetaarn. There is, however, no guaranty that our promotion reaches the medias
 
The doors will be closed at the onset of the concert.
 
If desired, the doors can be kept open during the event, at a cost of DKK 250.00 per initiated hour, with a minumum charge of three hours.
 
Special circumstances:
 
A Steinway type B grand piano can be made available for DKK 1000.00. If the piano tuner is required to work on Saturdays, Sundays or during holidays, the fee will be increased by up to 100%.
 
Chairs for a maximum of 150 people can be arranged, if the current exhibition does not prevent this.
 
If the music requires electrical amplification, the organizer is responsible for supplying and operating the necessary sound system.
 
The organizer has the sole responsibility for the transport of instruments and other equipment.
 
All directions from the present Rundetaarn staff must be followed during the preparation and execution of the event.
 
Two members of the Rundetaarn staff will be present during the event itself. Their primary task is controlling the entrance and manning the counter. The first guard will be at Rundetaarn 1 hour and a half prior to the event. The staff are scheduled to be on duty until two hours and a half after the beginning of the concert
 
The organizer is responsible for any other functions in connection with the event.
 
The organizer is allowed to sell concert-related merchandise (such as CDs, posters, etc.) on the day of the concert.
 
Rundetaarn can manage this sale for a certain fee, but must be notified no later than three days in advance.
 
Conditions for ticket sale through BilletNet:
 
By appointment, Rundetaarn can handle ticket sales though the BilletNet ticket service, in accordance with the guidelines found below.
 
Price: Registering the concert on BilletNet: DKK 200.00. An additional expense fee of DKK 5.00 will be charged by BilletNet for each ticket sold through the service.
 
Time limit: The final programme and ticket pricing information must be given to Rundetaarn no later than eight weeks prior to the concert.
 
Changes: Any changes in the programme or ticket price after BilletNet registration must be paid for by the organizer, according to the current BilletNet rate, presently DKK 250.00.
 
Cancellation: If the event is cancelled after BilletNet registration, the organizer must pay BilletNet's reimbursement fees, presently DKK 20.00 for each ticket sold.
 
Responsibilities: Rundetaarn cannot be held economically or otherwise responsible for any error in connection with BilletNet, once the organizer has validated the text in programmes and on tickets, and approved of the pricing.
 
Billing: Please allow two weeks before final billing can take place.
 
A number of tickets must always remain for sale at the entrance.
 
Other agreements:
 
The organizer may choose to have a reception with serving of beverages in connection with a concert. This must be agreed upon in advance with Rundetaarn and food and beverages are to be purchased through Rundetaarn. The price for such receptions shall be negotiated separately.
